What USLING keeps about you, why we keep it, who can see it, and what you can ask us for.
The short version
- We collect what we need to admit you, teach you, bill you, and keep the immigration records the US government requires.
- You can see your own records. Staff see only the parts their work needs.
- We do not sell your information. We do not show advertising, and we do not use tracking or analytics tools.
- We keep student and applicant records after you leave, including immigration records. We do not delete them on request.
- You can ask for a copy, ask us to correct something, or ask us to close your login. Write to registrar@usling.edu.
Who we are
USLING is U.S. Ling Institute LLC, an English language school in Murray, Utah. We are responsible for the information in this policy.
We run the school on one system: the USLING website at go.usling.edu and the USLING app. This policy covers both. It applies to people who apply to USLING, to students and former students, and to sponsors who give us financial information for a student.
What we collect
What we hold depends on who you are. Most of it you give us yourself. Some of it our staff add, and some of it the system creates as you use it.
Your account
- Your name and email address.
- Your password. Our sign-in provider stores it in a form that nobody, including USLING, can read.
- If you choose to sign in with Google, the name and email address on that Google account.
- The codes we email you to confirm your address or reset your password.
Your application
- Your legal and preferred names, date of birth, gender, and city and country of birth.
- Your email address, phone numbers, and your home and mailing addresses.
- Your answers, the statements you certify, and every version of the application you submit.
- Family members who will come with you (dependents): name, relationship, and date and country of birth.
- A sponsor, if someone else pays for your studies: their name, relationship to you, contact details, address, and the amount of support they declare.
- Documents you upload, such as your passport, a government ID, bank letters or other financial evidence, and your dependents’ passports.
- If you apply to change your immigration status inside the US: your citizenship, passport number and expiry date, I-94 number, SEVIS ID, most recent date and place of entry, visa category and current school.
- Application fee payments, and notes our admissions staff write about your application. Those notes are for staff only.
Your studies
- Your student number, level, classes and semesters.
- Your attendance in each class, and any correction to it with the reason.
- Your speaking practice (SPEL) bookings and the minutes you attend.
- Your grades, your quiz answers, and the work you hand in — files, links and audio recordings — with your teachers’ comments.
- The tasks you complete each semester: agreements you sign by typing your name, forms, and acknowledgements.
- Your address in the US, your phone number, and an emergency contact.
- Your photograph. See “Your photograph” below.
- The notices the school sends you, and whether you have read them.
Immigration records
Your SEVIS ID, Form I-20, immigration status and the documents that prove it. See “Immigration information” below.
Money
- The charges, payments, discounts and receipts on your account, and your payment plan.
- Who paid, and a reference such as a check or transfer number.
- Any hold on your account, and the reason for it.
- The emails we send you about payments.
The system does not ask for or store card numbers or bank account numbers. When you pay by card, we record only the payment terminal’s reference.
Documents we issue
The letters and agreements we prepare for you — your acceptance letter, enrollment and payment agreements, orientation documents and receipts. Each one keeps a copy of the details printed on it, so it can always be shown exactly as it was issued.
Records from our earlier systems
Before this system, USLING used other software. If you studied with us before, we copied your records from it: your details, classes, grades, attendance, practice hours, payments, and copies of documents such as your passport, visa, I-20 and I-94. Some of these records go back to 2021.
Technical information
- Cookies that keep you signed in. See “Cookies” below.
- The date and time of important actions — when something was submitted, signed, paid or changed — and which account did it.
- Our hosting and sign-in providers keep technical logs of requests, which can include your IP address and the type of browser you use.
We do not collect your location from your device.
Why we use it
- To decide on your application and prepare your admission documents.
- To issue and keep your immigration documents, and to meet the school’s duties to the US government.
- To teach you: your classes, attendance, grades, practice hours and coursework.
- To bill you, record your payments and send you receipts.
- To contact you about your application, your classes, deadlines and payments.
- To keep the system secure, and to keep a record of who changed what.
Some school rules are applied by the system automatically — for example, late coursework loses marks each week, and a student with unfinished required tasks can open only those tasks and their billing until the tasks are done. Staff can review these.
Immigration information
If you study with us on an F-1 student visa, or apply for one, we hold immigration records about you: your SEVIS ID, your Form I-20 and its dates, your immigration status and the document that proves it, and copies of your passport, visa and I-94.
USLING enrolls international students with the approval of the US government. That means the school must keep these records, keep them up to date, and show them to US government officials when asked. The school’s officials report required information to SEVIS, the government’s system for international students. This system does not send anything to SEVIS by itself — our officials enter it.
Immigration records can be seen only by staff who have been given permission to work with them. Teaching a class does not give that permission. You can see your own immigration records when you sign in.
Your photograph
Every student has a photograph on their record. Our staff take or upload it, or it was copied from our earlier system.
We use it so teachers and staff can recognize you — on class lists, on the attendance register and on your student record. You also see it on your own pages.
Photographs are kept in private storage. A photograph is shown only through a link that stops working after a few minutes. We do not use photographs for face recognition or any other automatic identification.
Who at USLING can see it
You can see your own records. You cannot see anyone else’s.
Staff are given separate permissions for separate work — admissions, student records, immigration, money, classes and grades. Each permission opens only its own part of the system.
- Teachers see the students in their own classes: name, email address, photograph, attendance, grades and the work they hand in. A teacher can see that a student has a hold on their account, but not their balance or payments.
- Admissions staff see applications, the documents uploaded with them, and sponsor forms.
- Student records staff see students’ details, classes and results. They do not see immigration records unless they also hold the immigration permission.
- Finance staff see accounts, charges and payments.
- A small number of senior staff can see a student’s past semesters.
- System administrators can, to help with a problem, see the system the way a particular person sees it. While they do, they cannot sign or accept anything for that person.
Sponsors
Sponsors do not have a USLING account. A sponsor you name receives an email link to a financial form. The form shows them your name, your application number, how long you will study, how many dependents you have, and the amounts required. It asks them for evidence of support. It does not show them anything else about you.
If you ask us to, we can email a copy of a payment receipt to another person, such as a sponsor.
Companies that help us
A few companies run parts of this system for us. They use your information only to provide their service to us.
We may also share information when the law requires it — for example, with the US government officials responsible for international students.
What we never do
- We do not sell or rent your information.
- We do not share it with recruiters or recruiting agents.
- We do not use it for advertising, and we do not share it with advertisers.
- We do not use analytics, tracking pixels or advertising cookies.
- We do not store card numbers or bank account numbers.
- We do not use photographs for face recognition.
- We do not send student information to AI services.
How long we keep it
We keep applicant and student records after you finish or leave, including when an application does not lead to enrollment. There is no date on which they are deleted automatically.
This is deliberate. Immigration rules require the school to keep student records and to show them to government officials, sometimes years after a student has left. You may need them too — for a transcript, a letter, a transfer, or a future visa application.
Some records cannot be changed once they exist: a submitted application, a signed agreement, an issued document, a payment. If one of them is wrong, we record a correction beside the original. We do not overwrite it.
Closing your login does not delete your records. See Asking to delete your account.
Cookies
We use a small number of cookies, and the system needs every one of them to work:
- Sign-in cookies, which keep you signed in.
- A cookie that remembers which email address is waiting for a confirmation code.
- A cookie that keeps a sponsor’s financial form open for two hours.
- A cookie that remembers whether the menu is open or closed.
- A cookie used only by staff while they see the system as another person.
We do not use advertising or analytics cookies.
What you can ask for
- See your information. Sign in to see your records. Applicants can change their application until they submit it, and ask for a correction after. Students update their US address, phone number and emergency contact through their tasks.
- Get a copy. Ask us for a copy of the information we hold about you.
- Correct it. Tell us if something we hold is wrong.
- Close your login. See Asking to delete your account for what that does and what we keep.
Write to registrar@usling.edu. We reply within 30 days. We may need to confirm who you are before we act on a request.
Keeping it safe
Rules inside the database decide what each person can reach, so every student, applicant and member of staff can open only what they are allowed to. Documents and photographs are kept in private storage and shown through links that expire.
No system is perfectly secure. Keep your password private, and sign out when you use a shared computer.
Children
Applicants must be at least 14 years old, and the application does not accept a younger applicant. If you think a child under 14 has given us information, contact us.
Changes to this policy
When we change this policy, we change the date at the top of this page.
